Most reservation software for tour operators includes a "cutoff time" feature. It's a pretty simple and basic feature so I would be surprised if any reservation system didn't have this feature. 

Assuming you need 48 hours to prepare for the guest you can set a 48 hour cutoff time on automated bookings and give the guest the option to call you within the 48 hour window so you can decide if you want to make an exception for this particular guest.
